Working with a travel advisor

Ben’s Travel does not charge planning fees. Travel suppliers generally compensate us when you book through us, and we will clearly disclose any charge associated with a particular product or service before you commit.

Not necessarily. We can access supplier promotions, group rates and amenities that may not appear in every public search. Because prices and offers change frequently, we compare the available options and explain the total cost, inclusions and booking terms before you decide.

Contact Ben as soon as you can. We will make reasonable efforts to help you understand your options, communicate with the appropriate supplier and navigate the next steps. Airlines, cruise lines, hotels and insurers ultimately control their own schedules, policies and remedies.

Cruises are a specialty, but they are not all we plan. Ben’s Travel can also help with flights, hotels, resorts, tours, transfers and multi-destination vacations, either on their own or as part of a complete itinerary.

Often, yes—especially if you booked directly with the cruise line recently and have not made final payment. Transfers are subject to the cruise line’s rules and deadlines, so contact us as soon as possible.

Cruises

The best cruise line depends on your travel style, budget, preferred destinations and who is traveling. We compare factors such as ship size, dining, entertainment, children’s programs, accessibility, cabin choices and what the fare includes, then recommend options that fit your priorities.

Booking early usually gives you the widest choice of ships, dates and cabins, particularly for Alaska, Europe, holidays and other popular sailings. Last-minute offers sometimes appear, but availability may be limited and airfare can cost more. We will help you weigh price against flexibility and selection.

Travel insurance can be valuable when a trip involves significant prepaid expenses or when medical care, evacuation, delays or interruption would create a financial hardship. Coverage, exclusions and reimbursement limits vary by policy, so review the full terms and consider any protection you already have before purchasing.

Most cruise fares include your cabin, many meals, onboard entertainment and access to standard ship facilities. Beverages, specialty dining, Wi-Fi, gratuities, excursions, spa treatments and other services may cost extra. Inclusions vary by cruise line and fare type, so we will outline the expected total cost before booking.

Usually, yes. We can compare available cabins by location, layout, noise risk and proximity to elevators or venues. A lower-priced “guarantee” fare lets the cruise line assign your cabin later, so we will explain the trade-off before you book.

It depends on the cruise line and fare. Some luxury and all-inclusive lines include gratuities, while others add a daily service charge. We will include this in your estimated total and explain whether it can be prepaid.

Yes. Cruise fares and promotions change frequently. When supplier rules allow, we can check whether a new offer can be applied, although changing fares may also change your deposit, perks or cancellation terms.

Flights

It depends on the itinerary and the cruise line’s air program. Cruise-line air may offer coordinated support or other protections under its specific terms, while booking independently may provide different schedules, fares or flexibility. We will compare the options, but no air arrangement guarantees that the ship will wait for a delayed traveler.

Arriving at least one day before departure creates a buffer for cancellations, delays and baggage problems. Additional time may be prudent for international embarkations, long connections or travel during severe-weather seasons. The goal is to reduce the risk of missing the ship.

Insurance

Depending on the policy, travel insurance may cover specified reasons for trip cancellation or interruption, delays, baggage problems, emergency medical treatment or evacuation. Every policy has limits, exclusions, deadlines and claim requirements, and coverage is never automatic for every event. Review the policy documents carefully before purchasing.

Standard trip-cancellation coverage applies only to reasons named in the policy. Cancel For Any Reason coverage may reimburse part of your prepaid, nonrefundable cost when its purchase and cancellation deadlines are met. It usually costs more and does not provide a full refund, so check the policy’s exact terms before buying.

Accessibility & special requirements

Yes. We can help identify accessible cabins, suitable ships, transportation and excursions, then communicate requested accommodations to suppliers. Accessibility inventory is limited, so early planning is strongly recommended.

Most cruise lines can accommodate common dietary needs when notified in advance. We will document your requirements and explain the onboard process, but travelers with serious allergies should also speak directly with the dining team after boarding.

Passports & documents

Requirements depend on your citizenship, itinerary, destinations and cruise line. Some U.S. citizens on qualifying closed-loop cruises may use approved proof of citizenship and government-issued identification instead of a passport, but exceptions apply. A valid passport book is strongly recommended and is generally required to fly back to the United States from a foreign country. Confirm the requirements for every traveler before departure.

Passport-validity rules vary by destination. Some countries require six months of validity beyond your travel dates, while others have different rules. Check each country’s current entry requirements and your carrier’s rules, and renew well in advance if your passport may not qualify.

REAL ID is a federal identification standard. Since May 7, 2025, travelers aged 18 or older generally need a REAL ID-compliant state ID or another TSA-accepted form of identification, such as a passport, at U.S. airport checkpoints. REAL ID does not replace a passport for international travel.

Booking, payments & cancellations

Most cruises require a deposit, followed by a final payment before departure. The amount, due date and refundability depend on the cruise line, fare and itinerary. We will provide the applicable payment schedule and terms before you book and send reminders as deadlines approach.

The cancellation and refund rules for travel bookings are established by the applicable cruise line or supplier. Penalties generally increase as departure approaches, and some fares or fees may be nonrefundable from the outset. We will explain the supplier’s terms before booking; insurance may reimburse eligible losses only when the policy covers the reason for cancellation.

Many cruise bookings allow additional payments between the initial deposit and final-payment deadline. This is not necessarily a formal installment plan, and supplier rules vary. Regardless of how payments are divided, the required balance must be paid by the stated deadline to avoid cancellation.

After booking

We will provide payment deadlines and help coordinate documents, insurance, flights, hotels, transfers, dining and excursions as applicable. Before departure, we will make sure you know what must be completed and when.

Often, but availability, fare differences and supplier penalties may apply. Name changes can be especially restricted. Contact us before making changes so we can explain the cost and protect any promotions attached to the booking.
